Approving or Rejecting an Exception Request
Any admin that has permission to make an exception on a student will receive notifications of submitted requests for exceptions.
Clicking on the notification will reveal the details, and clicking on the details will bring the user to the appropriate student's page.
The notification will note which requirement has an exception request - the request is also visible within the audit.
Clicking on the exception request brings up the details of what exception was requested, who made the request, and the justification for the request. The admin can then choose to accept or reject the request. Additional details can be provided when accepting or rejecting the request.
Once the request has been accepted or rejected, the person submitting the exception request is notified. If the exception was approved, the exception is noted on the student's audit. If it was rejected, it can be revised per the parameters indicated in the rejection justification.
Searching for Exceptions
While exception requests will always show up in notifications for any admin that has the permission to approve exceptions for a student, it can be helpful to search for exceptions (whether in progress or completed) to help manage your workflow.
Admins can search for exceptions on the Student Search page by clicking on the "Taken" button and selecting the "Exceptions" drop-down menu.
There are three filters that exist to search for exceptions:
- One or more exceptions made searches for any student that has at least one exception that was directly added to the audit by an admin with the "Make Exception" permission. In other words, this permission did not go through any approval workflow and was added to the student's audit in one step.
- Any pending exception requests searches for any student that has an exception that has been requested but not yet resolved. You can click on a student within the search results to visit their audit, find the exception, and then approve or deny the exception if you have the appropriate permission.
- Any approved exception requests searches for any student that has an exception on their audit that was added through the exception request workflow. In other words, someone requested the exception and it was then approved by a person with the appropriate permission.
You can save any of these filters as a saved report for future use.
