November 2023
Placeholder double counting:When programs allow for unlimited double counting, we now allow placeholders from other programs to count toward its requirements (when the list of courses match each other). Note: This feature will go live for all partners at the end of December 2023 |
Supporting multiple lectures per lab course section: Stellic previously had a model where we supported multiple labs attached to one lecture - so a student would choose a lecture, then choose a lab.Partners had models where they had multiple lectures of the same course, and each lecture had specific labs to choose from. We completed development to support multiple lectures with the same course code that each support multiple (unique) labs, and revamped the experience around students selecting labs. |
Increased character limit for course section notes from 200 to 4000 | ||
Support for multiple SSOs: Institutions often have separate SSOs for their test and production environments. For SAML/Shibboleth based schools, we now support separate SSOs (not yet supported for CAS) |
October 2023
Levels-related search filters: Added options to search by level in Taken, Remaining, and Unmatched student filters, and can search by level in courses and programs tabs |
Dedicated pipeline for audit publishing: Meant to help improve the speed at which audits are published in the instance |
Test Scores: We have introduced functionality that supports test scores in the student's profile and within the audit. Updates so far:
Section search by type: Within the course search (on the course search page or within the sidebar of the student's page), we have introduced the option to search by section type. This is only available for terms where section data is available, but enables users to narrow their search for courses with specific types of sections (such as labs). |
Dynamic Groups: are a type of group that acts like a lookup table, determining who is in the group based on a value. Dynamic groups are currently only usable as part of workflows. |
Improved permission assignments on large groups of students: We instituted asynchronous processing of permissions to allow for large groups of permissions to be assigned on users without timing out. |
“Make exception” permission through programs is now supported by default across all instances |
Visibility of prior Workflow steps: An approver can now see the information of the steps before them. This will include things like: who has acknowledged this request, justification of a waiver etc. |
Allow for renaming of Workflows: A workflow can now be renamed if no requests have been made through them |
September 2023
Ability to manipulate the start time of an appointment: Advisors can now choose whether appointments are able to be selected every 10, 15, 20, etc minutes to better accommodate student schedules that may have timings off of the half-hour mark. |
Prospective student module: Open up Stellic to prospective students to explore programs, and where available, pathways! Use the planner to see how this works for their situation:
This is a brand new add-on module and is not available by default. Please talk to your Partner Success representative for more information. |
Levels-contextualized progress bar: When filtering the student’s programs in their progress view, the progress bar in the student’s profile will also shift to reflect the progress of the audits that are displayed. This was a necessary change after introducing filtering by program levels earlier in the year. |
Displaying the course dates in the course sidebar: We are seeing more and more partners with variable dates of course offerings - courses that are offered sporadically through the term, or courses that are offered during part of the term. |
More flexibility in the program info page: |
Added to “course set” constraints:
August 2023
Manual lists: A new type of report that allows users to save and edit a static list of specific students. |
Bulk actions on student list: We have introduced the ability to select multiple students from the Student Search page and perform the same action (such as leaving a note) on selected students |
Export audit requirements: Superadmins are able to do a csv bulk export of all of their audit requirements. This is currently only available to superadmins via a URL pull. |
Export audit exceptions: Similar to above, superadmins are able to do a csv bulk export of all of their audit exceptions. This is currently only available to superadmins via a URL pull. |
Test instance branding: We added additional text to test instances to clarify them from their production version counterparts. |
Search filter for No Published Audits: To identify programs that need to have audits built (before launch) |
Improved audit computation speed: We are continually working on audit speed improvement and were able to achieve an increase in speed. This is an ongoing project. |
Default course search update for students: only show courses that count for “my program” if I have just one program |
Group sorting: support sorting by name and size of groups in the Staff page |
Editing units of a requirement in the audit: When a user creates a requirement in the audit, Stellic uses the mode average of the courses of the requirement to generate an estimated number of credits for that placeholder in the student’s plan. Now, we display that average and allow users to edit it. |
Additional Checks: This new type of requirement does not “ingest/bucket” courses - an additional check looks at what courses are taken in other requirements and counts/displays them. This means a course can be in the unmatched section and an additional check - which is an important feature to ensure the accuracy of unmatched courses. |
Multiple GPAs in Milestones: Developed to support our partners that use multiple cumulative GPAs to ensure they could use any GPA in the GPA Milestone in the audit |
Display the overload limit in the student planner: A tool for students to proactively know how many credits they should be planning in a given term and displays upon hover in the planner and schedule view. This is currently a flag-enabled feature |
Allow universal requirements to have non-major program types as a scope |
Enroll in one other program constraint has been enhanced to incorporate “enroll in one other program type" |
July 2023
Allow admins to register on behalf of students: This needs to be enabled by a setting in order for admins to register for the student. |
Show a warning when a student tries to register for a course at a campus other than their own |
When a student selects overlapping course sections, they receive a warning in the week view as well as planner view |
Send registration email summary: Whenever a student takes a registration-related action in Stellic, they receive an automated email summary at the end of the day. |
Display planner warnings in week view: Previously, planner warnings (such as prerequisite not met) only displayed in the long-term planner - these warnings now also display in the schedule view. |
Support for enrollment levels in the program audit:
All of these changes enable used to look at specific levels on an individual student, and ensure that audits only consider courses at a particular level. For partners with students that take multiple levels of degrees at their institution, this change should greatly increase audit accuracy when enabling this feature.Levels do require implementation changes - please talk to your Partner Success representative for information. |
Using numerical custom fields in Milestones: Allows users to use custom data (in a numerical format) that they send to Stellic in audit requirements |
Flexible Milestone approvals: Listing one user as an approver of a step in a Milestone has limited functionality in the event that user is unavailable, leaves, etc., as it means that step is no longer able to be fulfilled. We created functionality for users to be able to make a Milestone decision on behalf of another user (if they have the make_exception permission). |
Multiple exceptions: Users are now able to make more than one exception at a time on a student’s requirement. This is particularly useful now that users are able to split courses via an exception. |
Expand/contract all in requirement editor: Having to manually hunt down nested requirements in the requirement editor is a thing of the past with this new, handy-dandy shortcut to expand/collapse all requirements. |
Automated split credits: We previously implemented split credits as an exception, but for large institutions where they have a lot of students and a lot of split credit examples, they needed a more efficient way to maintain audit accuracy. Split credits has incorporated into our “exactly [x] credits” and "at most [x] credits" constraints. This feature is flag-enabled, so is only available upon an institution’s request. |
Unmatched rationale: Adding more clarity as to why a course ends up in the unmatched section of the audit. Tags have been added to courses in unmatched with the following reasons:
Term-based equivalencies: Ensuring that course equivalents do not count in the audit unless the course was actually an equivalent course during a relevant term. This was requested by institutions who have term-based restrictions on when a course served as an equivalent. |
Concurrent prerequisites: Previously in Stellic, prerequisites could only be taken prior to the course in which the prerequisite was required. Some SISes support the concept of a concurrent prerequisite, meaning the prerequisite course can be taken before or during the same term as the course needing the prerequisite. We also revamped the prerequisite design to accommodate the addition of more functionality. |
Prioritization of the tentative list in planner: Adding guidance and advice for students on which courses/requirements in their remaining requirements of their planner should be taken firstWe’ve added logic to the ordering of the requirements:
Student & term based overload credits: Previously, the system required a fixed value for the number of credits allowed in a semester, which was uniform for all students and semesters. With this new enhancement, universities can now send specific overload credits data for each student and semester, offering a more flexible and customizable approach to cater to varying overload credit requirements. |
Student Reporting 2.0:
Admins registering students: Previously, students could only register themselves within the Stellic platform. This change allows admins or advisors to register a student for courses on behalf of the student. |
Registration emails: Upon successful registration, the student receives an email summary sent by Stellic. |
Note templates for bulk notes: We merged templates and bulk notes features to allow admins to send a fully-formed note to multiple students with just a few clicks. |
Appointment data exports: Download a CSV with information on appointments scheduled within Stellic. Users with the Appointment Analytics permission can download appointment information from other users than themselves. |
Rounding off appointment start times: If an appointment ends at odd times (10:20am) then the next appointment slot that appears will be 10:30. It gives the opportunity to take a break between meetings and also makes their schedule easy to navigate |
Show appointments slots in the time that has an event marked “Free”: This allows for a more accurate reading of the user's synced calendar. |
June 2023
Only show terms with courses/activities once a Pathway has been published: For institutions with a large number of terms, Pathways ended up with a lot of blank terms in the final result. We have made a change so that published Pathways now only display terms where a user has input content, and any blank terms will not display in order to minimize confusion for any users viewing the Pathway. |
Display appointment information on calendar apps more intuitively: The default calendar event for Stellic-generated appointments now includes the student's name in the event title, and the topic and description appear in the calendar's event description. |
Filter the appointment export results on date range: The export of appointment data can now be filtered based on an inputted date range. |
Display and support student SIS holds: Stellic can now display any current SIS holds on the student's profile and/or any registration pages. Please note that this feature requires additional integration - please contact your Stellic representative for more information. |
Increase Bulk Message Character Limit: Bulk messages sent to students now support up to 10,000 characters. |
Round off the available appointment times to 15 minutes: Previously, appointments would start any time immediately after the previous appointment ended. This new functionality enables appointments to only be scheduled starting on the 15 minute marks within the hour (15, 30, 45, 00) |
Flexibility in the start term of a Pathway: Instead of always applying a Pathway based on a student's entry term, users can apply individual student Pathways starting from any year in the student's plan. |
Allow a user to override any Milestone's step approver: Any admin with the exception to make a permission on the student can override the listed approver and make a decision on a Milestone in the student's audit. |
May 2023
Only show terms with courses/activities once a Pathway has been published: For institutions with a large number of terms, Pathways ended up with a lot of blank terms in the final result. We have made a change so that published Pathways now only display terms where a user has input content, and any blank terms will not display in order to minimize confusion for any users viewing the Pathway. |
We resolved an issue where some admins were unable to submit exceptions. |
We resolved an issue where users were unable to add an attachment when satisfying a Milestone in a student's audit. |
Display reason for revert of reviewed plan in student's notification: When an advisor reverts a plan from Reviewed to Unreviewed status they are required to input a reason. We now display the reason and it is visible to students in their notifications. |
Change copy of the time zone icon in a student's plan: Previously, when hovering over the time zone icon on a student's plan it read "change time zone". We updated the copy to "change your time zone" to more clearly indicate that the change is taking place for the user viewing the plan. |
Bulk export of Pathways data: Stellic supports a URL-based .csv export of Pathways data (accessible to superadmins only). |
We fixed an issue where admins were unable to view attachments in student notes submitted by other users. |
Support note templates in bulk notes: When adding notes to multiple students at once from the student search page, users can now use a note template. |
Updates to the "waive this requirement if" constraint: The constraint "this requirement is waived for students if" has been updated to include:
Program locking: This new feature enables freezing progress of students' audits - this should largely used once a student has graduated, but can be applied manually at any point. The student's primary program audit will be auto-locked upon Stellic receiving certification data for the student's declared program. Only admin users can manually lock a student’s audit at any time. |
Instructor use of Stellic: Make it easy for instructors to find and use notes for their students
April 2023
Increase limit of characters for Pathways activities: Pathway activities can now have up to 100 characters. |
Workflow updates: The following changes have been made to Workflows:
Workflow audit exception integration: This new feature allows a Workflow to be initiated when an audit exception is requested, and when the Workflow is fully approved completes the audit exception. |
When a requirement using the hidden constraint "Hide this requirement from students" is fulfilled in a student's audit, it was not displaying. This has been resolved and the fulfilled requirement now displays when fulfilled. |
March 2023
Introduce filtering functionality to remove courses from all progress and searches: Stellic has introduced a new progress category titled "Unrelated" where institutions can filter courses that should not count toward any kind of audit progress, including unmatched. Examples may include non-transferrable courses. |
Allow admin-type users to message students: We removed the limitation that allowed only advisor-type admins to message students in Stellic. All admin-type users can send messages to students with the permission enabled. |
Updated messaging UX for students: When students choose the envelope icon to send a message in Stellic, they are able to search for eligible admins/advisors to contact. Stellic prioritizes the student's assigned advisor at the top of the search. |
"Announcement" functionality in messaging - students cannot send messages: Previously, any admin/advisor user with the messaging permission would be able to send AND receive messages from students. There is a new setting that can be enabled in the admin user's settings that disables students sending or replying to messages, essentially creating an "announcement" feature where the admin can send messages but students cannot reply to them or initiate sending a message. |
Add an identical note to multiple students: There is a new action on the student search page that allows the user to add the same note to multiple students at the same time. |
Handle course patterns in prerequisites: Previously, Stellic only handled specific course codes in course prerequisites. Stellic can now recognize course patterns in prerequisites. This change requires an integration update, so please contact your Stellic representative if you are interested in using this feature. |
Enable program type in the "enroll in one other program" constraint: In the "enroll in at least one other program" constraint, the option to select a program type has been added. |
Remove the ability to remove a program that has been certified from a student's profile: Since certified programs are completed, we took away user's ability to remove these programs from a student's profile. |
LMS data integration: Stellic now supports the following functionalities for LMS data:
These functionalities require additional data and data integration to implement. Please contact your Stellic representative if you are interested in using this feature. |
Display multiple active terms in the student's sidebar: We updated the functionality of displaying active terms (terms where the schedule has been released) in the student's sidebar. We previously supported two terms and now support many. |
Support test student view for admins who are also students: There was a limitation for admins that were also students at their institution where they were not able to use the "test student view" functionality, but instead could only see their own student record. We can now disable their ability to see their own record and allow them to use the test student view.Note that users must choose between viewing their own student record and using the test view to see other students. Users are not able to see their own student record when in admin view. |
Support 3 decimal places in course units: For institutions that have more than 2 decimal places in their course units, Stellic now supports multiple decimal places beyond the two previously supported. |
Allow Superadmin users to delete a Universal Requirement: We have improved this functionality by allowing Superadmin users to delete Universal Requirements that have never been published. We will work on ability to delete universal requirements that have been published in the future. |
We resolved a bug where students were unable to request an exception for some requirements. |
February 2023
Automatically collapse sections of the audit that are waived via tag: When students have criteria that means they do not have to take particular requirements in the audit, Stellic will collapse these audit sections by default to reduce the amount of scrolling in the web interface. |
Don't display a term GPA in the student's profile for terms prior to the student's entry term: If a student is not actively enrolled in a term, Stellic will display the previous term GPA in their profile. In a student's first term, if they entered with any kind of credit prior to their entry, Stellic displayed the previous term's GPA in their profile and calculated their previous credit into the GPA. This no longer happens - if the only previous term data available is prior to the student's entry term, Stellic will not display a GPA in the student's profile. |
Allow users to edit a Milestone after the audit has been published: There was a limitation in Milestones where they could not be edited after the audit was published - this has been resolved. |
New constraints: Increased functionality for hidden requirements in the audit: Stellic has introduced options to hide an entire requirement, or hide a constraint. Details are included in the linked article under:
Constraint: The requirement is waived for students who do not have any/all of these tags: This constraint waives a requirement if a student does not have a given tag or tags. |
Option to always apply Pathway courses, even when pre-requisites are missing: Current Stellic functionality will not apply courses to a student's plan from a Pathway if the student is missing pre-requisites. We now support the option for a more literal Pathway application, where the Pathway will always apply all courses to a student's plan, even if the student does not have corresponding pre-requisites or co-requisites.This option needs to be enabled for an institution, so please contact your institution's Stellic representative for more information. Note that enabling this option enables for ALL Pathways at an institution. |
Add an overflow limit on lengthy constraints: For constraints with a large amount of text, such as a large list of courses in a course-set constraint, Stellic will truncate the list and enable users to opt into seeing the entire constraint. |
Make "Search Qualifying Courses" feature more prominent in the Progress view: In order to bring greater visibility to this feature of the audit, the "search qualifying courses" function can be accessed by clicking a small magnifying glass icon within a student's audit requirements. Using this option brings up courses that would count toward that particular requirement. |
Support "or" relationship between co-requisite courses: When courses have multiple co-requisite courses listed, Stellic now supports these courses to have an "or" relationship. |
Bulk API export: Stellic now supports a bulk export of student data via URL access. This is a feature that is enabled for superadmins only - please contact your Stellic representative for additional information about using this feature. |
Include student engagement score in API export: Stellic supports a URL-based csv export of student data (accessible to superadmins only) - users can now export students' engagement scores in the export. |
January 2023
Splitting credits on student audits: Stellic has implemented a new exception to "Move excess credits" in a student's audit. This allows admins with exception permission to move additional credits from one requirement to another in a student's audit. |
Require location when a student books an appointment: When using appointment scheduling, students are now required to select an appointment location (when provided an option) to increase clarity of the type of meeting. |
Audits now allow failing grades to be the latest course attempt: When the audit configuration is set to accept the most recently attempted course for a requirement, that course attempt can now be configured to be a failing grade based on the institution's preferences per their policies. (This does mean the course would need to be retaken). |
Performance filter in student search no longer rounds the CGPA: We identified that when users searched for precise values, the search filter was rounding values in search results and not always providing accurate results. For example, searching for <2.5 would not include a 2.492 GPA. This has been corrected so accurate values will be caught, even when off by fractional values. |
Milestones no longer display a green completed checkbox if the student does not have a GPA: When students had a null GPA value, it was marking GPA milestones as completed (this did not apply if students had any GPA value, such as a 0.0). This has been corrected so that the GPA checkbox will only display a green checkbox if the student has met the minimum GPA threshold. |
